WHEN SHOULD I BOOK MY VENUE?
"How long before the wedding should you start looking for the perfect location?" is the most frequent question that brides ask. To avoid worries and stress, the search should be started at least one year before the chosen wedding date. Living in a region, like Tuscany, which is one of the most chosen places for destination weddings, it is important to start well in advance to have more options and solutions to evaluate, especially if couples don’t have flexibility in the date. Tuscany offers a wide range of types, from the farmhouses to the Hamlets, from the luxury hotels or villas to the Castles... It might seem a long time, but I assure you it is not, especially if the couple intends to come personally to visit the different venues. It is certainly one of the tips I always give to my couples, to come and personally visit a location and choose it only for a feeling or emotion that has been transmitted to them. Very often I work with couples who don’t have the opportunity to come to Italy before the event and for these couples I always try to convey what the venue gives emotionally. But you know, emotions are always subjective.
It would therefore be necessary for the research to also begin in conjunction with the couple's possible willingness to travel to Italy, simply because the locations on average can option a date for no more than 2 weeks. Having an approximate budget idea allows the couple not to waste time with proposals that may not be interesting. Creating confusion or falling in love at first sight with a location that is not within the couple's possibilities can only lower the enthusiasm. Style, then, is one of the most important elements to know, it is useless to pour into elegant villas if the couple's style is simple and rustic.
Another essential aspect is to understand is how many guests you will want to invite, from here we immediately get an idea of how large the venue must be and how many spaces it is important to have, especially if you want to celebrate a symbolic ceremony on site, which undoubtedly involves the need to have an additional space, perhaps separated from the reception area. The size of the venue is also determined whether all guests will stay on site or not.
The evaluation of plan B is to be considered immediately. The rental of any gazebo is a cost that must be immediately included in the budget of the event. Given the unpredictability of the weather, not considering a cover or relying on weather forecasts is unthinkable!
An important aspect to consider is certainly the type of event you want and what kind of ceremony you want to celebrate. Most of the locations in Tuscany don’t allow civil ceremonies on site, although in recent years many of these are organizing to make their venue a municipal house, and for this reason, if you want to consider a legal ceremony, it can only be celebrated in the Municipality or in the properties of the Municipality.
It will be important to consider, especially for the logistics of the event. Having a ceremony, be it legal or religious, outside the reception location, certainly involves organizing transport for the guests. We always suggest that you consider this service and evaluate it in your budget as not everyone is practical in driving our beautiful roads. In my opinion, these are the lack of evaluations that must be made in order to find the perfect location.
Once the options have been evaluated and the choice has done, the next step will be to read the venue’s contract. Cancellation policies have become the first point of interest for couples. Unfortunately, the situation due by COVID, while not having canceled the enthusiasm and positivity, has made couples more sensitive on this aspect. It is important to understand if, in case of cancellation, the deposits will be refunded or not or only partially. What each supplier undoubtedly guarantees is the re-protection of the event on another date, keeping the deposit paid and the agreed price valid.
